DATE: This should be the date that you are writing the letter.
EMPLOYER’S ADDRESS: Do not assume that a person uses “Mrs.” Always include the person’s title. If you don’t have the address, look it up on the company’s website.
GREETINGS: Refer to the reader by his/her last name. Use a colon after the greeting, not a comma. … Dear [Recipient Name]:
The first paragraph should thank the individual that interviewed you, mentioning the specific title of the position and date. It should include a leading sentence of your qualification and the paragraph should be no longer than three sentences.
Example: “Thank you for the opportunity to discuss the role of Instructional Designer at Full Sail on June 12th.As we discussed, my experience producing learning videos combined with my passion in education make me a strong candidate for this position.”
The second paragraph should focus on a specific topic covered in the interview that shows you are a strong candidate for the position. In this statement, you should tie your strength back to the company’s projects or goals. The paragraph should be approximately three to five sentences.
Example: “During our conversation, I was particularly impressed with the collaboration between your content developers, designers, and educators. As you recall, I have similar experience working within a higher educational institution, where I was able to successfully collaborate with multiple teams to bring instructional content live within budget and on time.”
You may choose to do a third paragraph, if you think you did not cover something that makes you a strong candidate or you felt that you didn’t answer something to the best of your ability. In this statement, you may want to reiterate a skill, knowledge or qualification that makes you a good candidate. This paragraph should be two to five sentences.
The last paragraph emphasizes your enthusiasm for the position, the best time and phone number to reach you and mention any follow-up date that you obtained during the interview. This should be two to three sentences.
“It was a pleasure to meet you and I was very much impressed by the culture and work at Full Sail University. I am looking forward to hearing from you. Please feel free to call me at 805-555-5555 Monday through Friday before 5 pm.”
